Creating a new Subscription

A Subscription represents a recurring product or service being sold to a customer.

Before you begin

You must be a licensed Work 365 user with any Work 365 security role assigned to you to create new Subscriptions. For more information, see Security Roles and Permissions.

Create a new Subscription

  1. Within a configured Billing Contract, navigate to the Subscriptions tab.
  2. In the Subscriptions subgrid, select New Subscription.
    On smaller screen sizes, the New Subscription command may be consolidated into the overflow menu found by clicking the more commands icon.

Configure a new Subscription

Once a new Subscription has been created, fill in the information on the Subscription Details tab of the record. Required fields are denoted with an asterisk*.

  • Billing Type* Select the type for the Subscription. The options are License or Usage.
  • Product Price Optionally select an existing product and pricing configuration from the product catalog. This will prefill many other fields on the form.
  • Customer* Choose the customer associated with Subscription. If the Subscription is being created from an existing Billing Contract, this field will automatically populate.
  • Billing Contract* Choose the Billing Contract this Subscription will be associated with. If the Subscription is being created from an existing Billing Contract, this field will automatically populate.
  • Effective Start Date* Enter the desired start date for this subscription. This field will determine the first billable day for the Subscription. By default, the current date and time will be filled in.
  • Subscription Name* Enter the name of the Subscription. If an existing product was selected, this field will be filled in automatically but can be changed.
  • Friendly Name* Enter the friendly name of the Subscription. The friendly name for the Subscription is displayed in customer facing areas of Work 365 such as the customer self-service portal. It can also be used with invoice line items when configuring invoice templates. If an existing product was selected, this field will be filled in automatically but can be changed.
  • Billable Status This option determines whether a Subscription is considered billable.
  • Commitment / Term* Select the commitment or term for this subscription. The options are Monthly, Annual, or Triennial.
  • Provider* Choose a configured provider for this subscription. This will dictate how the subscription interacts with any automatic provider integrations.
  • Total Quantity* Enter the initial total quantity for the Subscription.
  • Retail Price Enter the retail price for the Subscription. If an existing product was selected, this field will automatically populate if a retail price is available for that Product.
  • Cost Price Per Unit Enter the cost price per unit for the Subscription. If an existing product was selected, this field will automatically populate if a cost price is available for that Product.
  • Pricing Strategy Choose the Pricing Strategy for this Subscription. If a Pricing Strategy is configured at the customer level, this field will automatically populate but can be overridden at a per-subscription level.

Once the required fields and any desired optional fields have been completed, select 💾Save in the command ribbon at the top of the record.

In the pop-up window, confirm effective start date and Click Yes to proceed or No to cancel and update the effective start date.

This will finalize the creation of the Subscription. If an automatic provider is selected, the provisioning process with that provider will begin on the designated effective start date.
